A wise change choice: How we helped a leading University control its portfolio of change

ChangeWise was approached by a leading south coast University which had a wide and complex range of projects. These projects were spread across two campuses, six academic Schools and six Professional Service functions.  They needed advice and management to control, bring these projects together into a portfolio, align them to their long-term strategy and monitor the results.

The University’s functions covered service delivery, business processes, IT systems and estates infrastructure, and they had a budget greater than £30 million for implementation of these projects.

How did ChangeWise help?

The University needed to regain control over these complex, multiple plans, so ChangeWise implemented a change framework for their main projects which would give them the organisation management and control required to work on a large number of projects.

We worked with the University through all parts of the framework, ensuring they constantly had the necessary advice and support throughout and that they achieved the required results enabling them to continue independently and evolve it further.

This framework included:

  1. A Change Management Board to approve, align and prioritise new strategic projects.
  2. Four Programme Boards to strategise, monitor project progress and manage change control.
  3. A Change Management Office to support the portfolio, programmes and project delivery.

The benefits to the University

Following this framework resulted in a whole range of benefits for the University, from improvements in cost, resource and quality control, to identifying and dealing with issues before they could impact on their projects. Other benefits included:

  • Created a prioritised portfolio of change projects aligned to the strategic plan and vision.
  • Improved quality, financial control and sponsor accountability for project and benefits delivery.
  • Resource difficulties and forecast issues were identified six months ahead
  • Savings of more than 10% in operational costs by using Lean Priciples to review the student administration processes allowing them to re-invest the savings into academic staff, enhancing the student experience and achieving Service Excellence.
